Custom Software

Custom Software Development for Small Business

Off-the-shelf software works until it does not. You hit the limits of what the tool can do, and the vendor tells you to submit a feature request. Your team adapts to the software instead of the software adapting to your team. That is the point where custom software starts making sense.

When to build

When custom software beats buying off the shelf

SaaS products serve the average customer. They cannot serve the way your business actually runs. If you run a unique process, you end up with workarounds, spreadsheets bolted alongside the tool, and manual steps that nobody has time to document.

Custom software solves your actual problem. It fits your process, connects to your existing tools, and does exactly what your team asks of it.

You should consider custom software when you have outgrown your current tools but not outgrown your business model. Your team spends more time maintaining spreadsheets and manual workarounds than doing the work those tools are supposed to support. The off-the-shelf solutions that might fit are too expensive or require too much internal customization. You need to move fast and cannot wait for a product roadmap that does not include your use case.

Pricing

Our fixed-price model for small business

Most custom software agencies charge by the hour. That puts all the risk on you. The bill grows if the project runs long, if the requirements change, or if the team hits a technical surprise.

We do not work that way. We scope the complete project in writing before we start. You see every feature, every integration, and every deliverable spelled out. We give you a fixed price.

Our projects typically range from $15,000 to $60,000 depending on scope and complexity. You get three options in writing. The baseline covers the core functionality. Above that, a recommended option adds what matters most for your use case, and a full-scope option includes everything we identified during discovery.

The hours are our problem. Your invoice matches the price we agreed.

Capabilities

What custom software covers

Most of what we build falls into a few recognisable shapes. Some businesses arrive knowing exactly which one they need. Others describe a problem and we tell them which shape fits. If you came here looking for one of these as a standalone service, it is the same work at the same fixed price, built as part of a system rather than sold separately.

Workflow automation and human review

Work arrives from several places and someone has to decide what happens next. Usually the data sits in three separate tools while the actual routing happens over email. We connect those sources, apply your rules automatically, and send anything that requires judgment to the right person with the context already attached. Review cycles that took days because of prep time close in minutes. Every decision gets recorded, so when something goes wrong six months later you can see what happened and who approved it.

Dashboards and live reporting

One screen pulling current numbers out of every system you run on. Nobody spends most of Friday assembling the Monday report, and leadership stops hearing about problems a week after they started. When five tools give five versions of the same number, we settle which one is authoritative and build from that.

Permissions and access control for internal tools

Each person sees the part of the system their job calls for and nothing else. Sales sees the pipeline, finance sees the numbers. This is the work that sits at the bottom of an engineering backlog for years, propped up by a spreadsheet workaround that stopped holding once the team grew. We design access into the structure at the start, because retrofitting permissions onto a running system costs several times more than building them in.

Integrations between systems

We connect the tools you already pay for so information stops getting retyped between them. Your existing stack stays where it is. We build around it instead of replacing it.

These are not four products with four prices. Most projects combine two or three of them, because a dashboard is not much use without the permissions that control who sees it. We scope the whole thing once and quote one fixed price.

Timeline

What delivery looks like

Kickoff to production takes 4 to 10 weeks. The first week is discovery and specification. We map your current process, identify the data sources, and document every requirement. Building starts once you approve that specification.

You see progress every week. At the end you get the complete system, its source code and the infrastructure access to run it without us. Written documentation is part of the handover, and your team runs the system independently from day one.

FAQ

Frequently asked questions

No-code tools work well for straightforward flows. When your process involves conditional logic, multi-source data, custom business rules, or audit requirements, a custom build handles the edge cases that no-code platforms cannot. You also own the code, which means you are not locked into a platform's pricing or roadmap.

No. You get full source code and infrastructure access. Your own team can maintain and extend the software. We include a 30-day post-launch warranty. After that, you can engage us for updates whenever you need them.

We design the specification to handle expected variations. If new requirements emerge during the build, we evaluate them against the existing scope and give you a separate price for the addition. You decide whether to add it.

Yes. We connect to whatever you already use. CRMs, accounting software, email systems, Slack, databases, and APIs. We work around your existing stack rather than replacing it.
