The problem
The team ran approvals across three disconnected systems. One handled intake, one managed review, and a shared inbox was the routing layer. Every morning, someone pulled items from the first, checked status in the second, and forwarded each one to the right reviewer by email.
Two hours of this, every day. When reviewers were out or slow, nothing moved and nobody knew why. Approval cycle averaged 4 days.
Approvals slipped through the cracks, and when they did, there was no audit trail showing who had seen the item or where it stalled.
Our approach
- Built a unified intake pipeline that pulls from all three source systems on a schedule, with no manual export needed
- Custom routing engine applies business rules to assign each item to the right reviewer based on type, value, and availability
- Slack alerts carry the full context of each new assignment, so reviewers can triage without logging in
- Review queue in a plain web interface, with every detail for the decision on one screen
- Full audit log on every state change from assignment through final approval, exportable for compliance
